3 Ways For Google Workspace Users To Mail Merge From Google Sheets

If your organization uses Google Workspace and you need to send personalized emails to up to 1,500 recipients per day, there are three ways to send list-merged emails without paying for an email marketing subscription. In this post, we’ll cover 3 Ways For GWS Users To Mail Merge From Google Sheets efficiently.

An additional benefit of sending to a list of recipients from your Gmail account, rather than via an email marketing system, is that your email is more likely to end up in recipients’ Primary tab rather than the Promotions tab.

If you use any of the following methods, make sure to thoroughly familiarize yourself with them first. Test your initial merge with a small group of friendly contacts, such as co-workers.

Tip: If you don’t want list emails to appear from a specific individual, including their personalized email signature, consider sending from a generic Google Workspace account, such as updates@yourcompany.com. Your Workspace admin could exclude this account from a company-wide signature requirement.

Also, to protect your organization’s domain’s email sender reputation, ensure you only send to your own contact lists, not to purchased lists.

1. Mail Merging With Native Gmail Functionality

This simple, built-in method lets you initiate a list email from Gmail’s ‘Compose’ window. You can personalize the emails with the first name and, optionally, the last name. Since Google’s help page on this topic has a few gaps, we’ve provided additional detail here.

First, prepare a Google Sheet in the following format.

Next, in the New Message modal, click the icon to the right of ‘Bcc.’ Check the box next to Mail Merge and click ‘Add from a spreadsheet.’

Select and insert your spreadsheet. In the ‘Finish linking spreadsheet’ modal, click the dropdowns for each of the three fields and select the matching spreadsheet column. Then click ‘Finish.’

Next, add a subject. Then, type @ and select ‘firstname.’ Enter the rest of your message and click ‘Continue.’ Follow the rest of the instructions.

2. Using Google App Script Services

This free method, posted on the Google for Developers site, involves making your own copy of a Google Sheet that includes a pre-coded App Script extension.

Unlike the method described in #1 above, this lets you personalize each email beyond first name and last name. For example, if you need to send a separate discount code to each recipient, you can do that. You can direct each recipient to a different URL.

While code is technically involved, you don’t need to know code to use this process. If you need to modify the code, you can prompt Google Gemini to modify it for you.

3. Install an App From Google Workspace Marketplace

There are more than a dozen apps listed in the Google Workspace Marketplace for the search term ‘mail merge.’

These are all available for ‘Admin Install’ and ‘Individual Install.’ A Google Workspace user must have their permissions set by an admin to install an application individually.

Here are five popular Gmail mail merge apps that work with Google Sheets and, in some cases, with other Google apps. We encourage you to read the detailed Overview sections of these and other mail merge apps to determine the best fit.

Yet Another Mail Merge (YAMM) by Talarian

YAMM is a feature-packed mail merge app with over 16 million downloads from its Marketplace listing. The app’s 18,000-plus reviews average 4.7 out of 5 stars.

YAMM’s publisher has a freemium model, with its highest-tier plan costing only $60 per year.

Differentiating Capabilities:

  • Interactive One-Click Polls: Users can embed a survey or poll directly in the email body, enabling recipients to vote with a single click. The responses are automatically recorded in the source Google Sheet in real-time.
  • Automatic Multi-Day Sending: If a campaign exceeds 1,500 recipients, YAMM will automatically split the mailing over several days to stay within Google’s daily limits.

Mailmeteor by Mailmeteor

Mailmeteor has over 7 million downloads from its Marketplace listing. The app’s 11,000-plus reviews average 4.9 stars.

Differentiating Capabilities:

  • Privacy-Focused Permissions: Unlike most other add-ons, Mailmeteor is designed to run with ‘minimal permissions’ and does not request access to your personal emails or Google Drive files.
  • Multi-lingual: The app is available in English, Spanish, and French

Mail Merge for Google Docs by Mailmergedocs

According to its listing, Mail Merge for Google Docs has over 4 million downloads and an average rating of 3.5 stars.

Differentiating Capabilities:

  • Avery Label & Envelope Specialization: This tool focuses on physical mail preparation, offering dedicated wizards for formatting Avery labels and complex envelopes for printing.
  • Desktop Publishing Focus: Rather than just being an ’email blaster,’ it is designed to export perfectly formatted PDF or Word documents intended for traditional snail mail.

Whether you choose the simplicity of native Gmail, the free flexibility of App Scripts, or the specialized power of Marketplace apps, you can reach up to 1,500 recipients daily without a paid email marketing subscription.

To protect your organization’s sender reputation, avoid purchased lists and run a quick test with a few trusted colleagues before your full launch. Some Marketplace apps reference sending cold emails, but do so at your own risk.

By selecting the specific tool that fits your unique goals, from interactive polls to third-party integrations, you can improve customer engagement.
