Guide to Using and Reusing Templates

Updated September 17, 2025

This guide explains how you can use your existing saved templates or predefined designs as a starting point for new creations. This is useful for making small modifications or creating variations for campaigns without starting from scratch.

Q1: How can I reuse one of my saved templates?

There are two primary methods to access and reuse a template you have already designed:

  • 1. When creating a new template from the main signature setup screen.
  • 2. From within the signature editor by inserting a template into your current workspace.

Q2: Method 1: How do I select a template at the start?

  • 1. Begin by clicking the New Template button.
  • 2. In the first step, labeled “Signature Setup,” select the option to Use a template.
  • 3. A window will appear, displaying a collection of all the templates you have previously saved.
  • 4. Simply click on the template you wish to use as your base.

Q3: Method 2: How do I insert a template from the editor?

This method is useful if you have already started with a blank template or want to combine elements.

  • 1. Open the signature editor (for example, by clicking Create New on the signature step).
  • 2. In the editor’s toolbar, locate and click the Insert Template icon (it is typically the last option on the right). (See image 1)
  • 3. A “Finder” window will open, showing a list of your saved templates by name. You can click on any template to see it in the preview section on the right. (See Image 2)
  • 4. Once you have chosen the correct template, click the Insert button. The template’s content will be loaded into the editor, ready for you to modify.

Q4: Can I use pre-made designs instead of my own?

Yes. In both methods described above, you also have the option to use a design from the application’s built-in collection.

…and more are all sourced from each user’s profile in the Google Workspace Admin console.

  • In the “Signature Setup” window (Method 1), click on the Predefined tab to browse the collection.
  • In the “Insert Template” window from the editor (Method 2), you can also navigate to the predefined templates section to browse and insert them.

Q5: I have a lot of templates. Is there an easy way to find a specific one?

Yes. When you use the “Insert Template” feature from within the editor (Method 2), the finder window includes a search bar. You can type the name of your template into the search bar to quickly locate it, which is especially helpful for users with a large number of saved designs.

Q6: Is there a limit to how many templates I can save?

Yes, the number of templates you can store depends on your account type:

  • Premium edition: You can save up to 10 custom templates.
  • Enterprise edition: You can save up to 100 custom templates.
